1.1 Who We Are
Cocoa Virtual Offices is a virtual office service operated by Egil Capital LLC, located at 1811 N Cocoa Blvd, Cocoa, FL 32922. We operate as a Commercial Mail Receiving Agency (CMRA) registered with the United States Postal Service. For privacy inquiries, contact us at [email protected].
1.2 Information We Collect
We collect the following categories of personal information:
- Identity information: Full legal name, date of birth, government-issued photo ID (driver's license or passport number), and secondary address-confirming ID — collected as required by USPS regulations and federal law.
- Business information: Business name, business type, EIN or tax identification number where applicable.
- Contact information: Email address, phone number, current mailing address.
- Payment information: Billing details sufficient to process and verify payment. We do not store full credit card numbers on our systems.
- USPS Form 1583: Completed and signed authorization forms as required by federal law for all CMRA clients.
- Communications: Records of email and written communications between you and Cocoa Virtual Offices.
- Website usage data: IP address, browser type, pages visited, and timestamp data when you visit cocoavirtualoffices.com, collected via standard web server logs.
- Video surveillance footage: Video recordings of common areas, mail areas, and entry points at our premises. See Section 3 for full disclosure.
1.3 How We Use Your Information
We use your personal information only for the following purposes:
- To verify your identity as required by USPS regulations (39 CFR §111.1) and applicable federal law
- To activate and maintain your virtual office service account
- To process payments and send billing communications
- To receive, notify, and manage mail and packages on your behalf
- To communicate service updates, changes to these terms, or account notices
- To comply with legal obligations, court orders, and lawful requests from government authorities
- To protect the security of our premises, mail operations, and other clients
We do not use your information for marketing to third parties, and we do not sell your personal data.
1.4 How We Share Your Information
We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:
- USPS and postal authorities: As required by federal CMRA regulations and USPS audits
- Law enforcement: In response to a valid subpoena, court order, warrant, or lawful government request
- Legal proceedings: If necessary to protect our legal rights or defend against legal claims
- Service providers: Limited third-party vendors who assist with payment processing or email delivery, bound by confidentiality obligations
- Business transfers: In the event of a sale or transfer of Egil Capital LLC, your information may be transferred as a business asset, with notice provided to you
1.5 Data Retention
We retain your identity documents and USPS Form 1583 for a minimum of three (3) years after termination of service, as required by USPS regulations. Payment records are retained as required by applicable tax law. Video surveillance footage is retained for up to 30 days and then overwritten, unless required to be retained longer for an ongoing investigation or legal matter.
1.6 Data Security
We maintain physical and administrative safeguards appropriate to the sensitivity of the information we hold, including secure storage of identity documents and restricted access to client records. However, no method of data storage or transmission is completely secure, and we cannot guarantee absolute security.
1.7 Your Rights
You have the right to request access to, correction of, or deletion of your personal information, subject to our legal obligations to retain certain records. Note that we are legally required to retain USPS Form 1583 and identity verification records for the period mandated by federal regulation, regardless of deletion requests.
1.8 Children's Privacy
Our services are intended for business use by adults only. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have collected information from a minor, we will promptly delete it.
1.9 Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify active clients of material changes with at least 30 days' written notice by email. Continued use of our services after the effective date constitutes acceptance of the updated policy.
Terms of Service
Important: These Terms of Service, together with the Privacy Policy above, constitute a legally binding agreement between you and Egil Capital LLC d/b/a Cocoa Virtual Offices. By submitting an application or using our services, you agree to be bound by these terms in their entirety.
2.1 Services Provided
Cocoa Virtual Offices provides a professional business mailing address at 1811 N Cocoa Blvd, Cocoa, FL 32922. Services vary by plan and may include mail receipt and notification, mail pickup access, weekly mail forwarding or scanning, and meeting room access. Provider operates as a CMRA registered with USPS.
2.2 NOT A Registered Agent Service
THIS SERVICE IS NOT A REGISTERED AGENT SERVICE. This address may not be used as a registered agent address, registered office, or statutory agent address for any LLC, corporation, or other legal entity with the State of Florida or any other jurisdiction. Provider assumes zero responsibility for service of process, state agency correspondence, legal summons, court filings, or any official government notices. Clients who require a registered agent must obtain one separately. Provider will not accept or hold any service of process documents on behalf of any Client.
2.3 Application & Acceptance
Submission of an application does not guarantee acceptance of service. Provider reserves the absolute right to reject any application at its sole discretion, for any reason or no reason. If an application is rejected before service activation, the onboarding fee will be refunded in full. Once accepted and service is activated, all fees are as described in Section 2.5.
2.4 Identity Verification & USPS Compliance
Prior to service activation, Client must provide all of the following:
- A valid government-issued photo ID (driver's license or passport)
- A second form of ID confirming Client's residential or business address (utility bill, lease agreement, or bank statement dated within 90 days)
- A fully completed, signed USPS Form 1583 (Application for Delivery of Mail Through Agent)
For business entities, an authorized officer must sign Form 1583. Each individual authorized to receive mail must submit a separate Form 1583. Failure to provide all documents within 5 business days of application approval results in automatic cancellation. Provision of false or fraudulent identity information is a federal crime and will result in immediate termination and referral to law enforcement.
2.5 Fees, Billing & Refund Policy
One-time non-refundable onboarding fees: Basic — $50 · Core — $75 · Premium — $100. Monthly recurring fees: Basic — $30/month · Core — $55/month · Premium — $120/month.
All onboarding fees are non-refundable once submitted, including if the application is later withdrawn. Monthly fees are due on the same calendar date each month. A 5-day grace period applies to late payments. After 5 days of non-payment, mail handling is suspended. After 15 days, the Agreement is terminated. Monthly fees already paid are non-refundable. Provider may adjust monthly rates with 30 days' written notice.
2.6 Mail & Package Handling
Provider will receive mail and packages addressed to Client. Provider is not responsible for mail lost, delayed, or damaged by USPS or any carrier before reaching Provider's premises. Storage fee of $5.00 per item per day applies to packages and oversized items held more than 7 days after notification. Mail or packages unclaimed after 60 days may be returned to sender, donated, or destroyed. Upon service termination, Provider holds mail for 30 days then returns to sender. Client is responsible for notifying all senders of address changes prior to termination.
2.7 Termination
Provider may terminate immediately and without refund for: (a) any Agreement violation; (b) non-payment beyond the 15-day period; (c) prohibited business use; (d) false identity information; or (e) conduct exposing Provider to legal risk. Client may terminate with 30 days' written notice to [email protected]. Termination does not extinguish outstanding payment obligations.
2.8 Indemnification
Client agrees to indemnify, defend, and hold harmless Cocoa Virtual Offices, Egil Capital LLC, and their respective officers, members, and agents from all claims, damages, losses, and expenses (including attorneys' fees) arising from: (a) Client's use of the service address; (b) Client's business operations; (c) Client's violation of this Agreement or any law; or (d) third-party claims related to mail received on Client's behalf.
2.9 Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, PROVIDER'S TOTAL CUMULATIVE LIABILITY SHALL NOT EXCEED ONE (1) MONTH'S SERVICE FEE. PROVIDER IS NOT LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOST PROFITS, MISSED LEGAL DEADLINES, OR BUSINESS LOSSES ARISING FROM USE OF THIS SERVICE.
2.10 Force Majeure
Provider is not liable for delays or failure to perform due to circumstances beyond its reasonable control, including natural disasters, hurricanes, power outages, pandemics, USPS disruptions, or government actions.
2.11 Governing Law & Disputes
This Agreement is governed by Florida law. All disputes shall be resolved exclusively in Brevard County, Florida state or federal courts. Client waives any objection to this venue. The prevailing party in any dispute is entitled to recover attorneys' fees and costs.
Video Surveillance Disclosure
📹 Notice: This premises is monitored by video surveillance 24 hours a day, 7 days a week.
3.1 Surveillance Notice
Pursuant to Florida law, Cocoa Virtual Offices hereby discloses that the premises at 1811 N Cocoa Blvd, Cocoa, FL 32922 — including all common areas, mail reception areas, entry points, hallways, and parking areas — are monitored by video surveillance cameras at all times for the security and safety of clients, staff, mail, and property.
3.2 Consent
By entering the premises or submitting a service application, you acknowledge this notice and expressly consent to video recording in all non-private areas of the facility. Private areas (e.g., restrooms) are not monitored.
3.3 Use of Footage
Surveillance footage is used solely for security purposes. Footage may be disclosed to law enforcement authorities upon receipt of a valid legal request, warrant, or court order. Footage is not shared with third parties for commercial purposes. Footage is retained for up to 30 days and then overwritten, unless preservation is required for an active investigation or legal matter.
Acceptable Use Policy
4.1 Permitted Uses
Our virtual office address may be used for lawful business purposes including business correspondence, company registration addresses (not registered agent), client-facing materials, banking, professional licensing, and e-commerce.
4.2 Prohibited Uses
The following are strictly prohibited and will result in immediate termination without refund:
- Using the address as a registered agent or registered office for any state entity filing
- Payday lending, predatory lending, or unlicensed financial services
- Debt collection agencies operating without required state licensure
- Cannabis, marijuana, or any controlled substance business
- Adult entertainment, adult content production, or escort services
- Multi-level marketing, pyramid schemes, or chain letter operations
- Any business under active federal or state criminal investigation or indictment
- Mail fraud, wire fraud, identity theft, or any fraudulent scheme
- Unlicensed money service businesses, cryptocurrency exchanges, or hawala operations
- Representing this address as a physical storefront, retail location, or brick-and-mortar office without written consent
- Receiving mail on behalf of individuals or businesses not disclosed in the application
- Any use that exposes Cocoa Virtual Offices or Egil Capital LLC to legal liability or regulatory action
4.3 Reporting Misuse
